EXHIBITOR INFORMATION

General Selling

MARKET EXHIBITOR AGREEMENT & INFORMATION
This acceptance of this Agreement permits the Exhibitor to participate at a Buchanan Event Company, OKC Flea Market, Texas Festivals or Dallas Flea Market, and by doing so the Exhibitor agrees to adhere to the Rules and Regulations set forth.  Management reserves the right to formulate additional Rules & Regulations as needed and without notice, and each Exhibitor shall abide by them.
 
REGISTRATION & REBOOKING
  1. Exhibitor can either pay in advance and in full at the time of registration, OR may partial pay for a minimum of one space (as deposit).  If paying the minimum, the remaining balance for additional spaces + any tables, chairs, and electricity will be due at check-in.
  2. There is a $25.00 service charge on all returned checks.
  3. Requests for specific space locations will be considered, but cannot be guaranteed. 
  4. Management reserves the right to change any assigned space and or space size of an Exhibitor and relocate for any reasonable cause in its sole judgment without prior notice and without refunds.
  5. Event goes on rain or shine.  There are no refunds, exchanges or credits.
  6. Event show date is subject to change.
  7. Management is entitled to re-sell spaces not claimed by 8:00 a.m. on selling days and payments will be forfeited.
  8. Exhibitor spaces may vary in size depending on location. 
  9. Any Exhibitor who wishes to keep the same space(s) location for the next event must pay for a minimum of one space in advance.  Exhibitor will have until Sunday at Noon 12:00 p.m. to reserve the space(s). Failure to do so may result in the space being released.
 
TAX & SELLING PERMITS
Exhibitor must duly report all sales made during the show in accordance with the appropriate sales tax regulations, and abide by all pertinent city, county, state, and federal laws, ordinances.

FIRE, SAFETY & SECURITY
  1. Exhibitor must abide by all pertinent city, county, state, and federal laws, ordinances, fire and safety codes, and all pertinent regulations of the Exhibit Hall.  Exhibitor shall hold management harmless against any failure to do so.
  2. Security is provided 24 hours a day. However, Exhibitor is advised that management assumes NO responsibility whatsoever to insure the safety or protect in any way, the property of the Exhibitor from fire, theft, malicious mischief, accident, or other cause. 
  3. Exhibitor should bring flame retardant table covers to cover merchandise after hours.
 
MOVE IN, TEAR DOWN & GENERAL SELLING

  1. It is a recommended to regularly check our website for any updates and changes: www.buchananeventco.com
  2. Move-in Hours:  Friday from 10:00 a.m. to 7:00 p.m. and Saturday from 7:00 a.m. to 9:00 a.m.  Show hours are Saturday from 9:00 a.m. to 5:00 p.m. and Sunday 10:00 a.m. to 5:00 p.m.  Tear-down: after 5:00 p.m.  All items should be removed from building no later than 11:00 p.m.
  3. NO EARLY PACKING.  Exhibitor should have exhibit open during all show hours. There will be no early packing during the show hours. Be respectful to customers and other exhibitors.  Exhibitors who violate this policy may be asked not to return.  
  4. Exhibitor Space is provided/sold for the sale of any type of merchandise, or for offering a service or soliciting business.  ONLY authorized Food Vendors may sell food or drink.
  5. Exhibitors are required to keep their booth area and the area directly in front of their booth clean.  Before leaving, Exhibitor’s space should be left in the same condition as it was upon arrival.  Trash, boxes, or other debris may not be left in the building or on the grounds.  If a booth area is not cleaned properly, a cleaning fee will be imposed on Exhibitor.
  6. An Exhibitor’s space cannot be assigned, transferred or resold by an Exhibitor, and any such assignment, transfer or resale shall be null and void.
  7. Exhibitors may not physically alter the building or walls or any structure of the event in any manner, including driving any nails or objects into walls or floors. 
  8. Exhibitor must keep exhibit within the designated boundaries and avoid interference with other booths.
  9. Selling of animals, adult oriented items, gas filled balloons, guns, ammunition, drug paraphernalia, or any items that are controversial or morally questionable in nature are prohibited.
  10. Medical treatments or services that require physical contact are not permitted.
  11. There is no smoking permitted anywhere inside building.  Exhibitors who must smoke must do so a minimum of 100 feet away from any customer entrance and properly extinguish and discard cigarette butts. 
  12. Exhibitor may not run any extension cords to spaces without prior approval from management. Exhibitor may not have electrical cords in the aisles. The management shall not be responsible for any damage or injury that may occur as a result of electrical cords or wiring.  Management does not supply extension cords. 
  13. Exhibitor is responsible for any damage caused by Exhibitor to the building, market venue or property of Crossroads Event Center or the Plaza Mayor. 
  14. Pets are discouraged. Dogs must be kept in a kennel underneath table at all times.  Barking, whining or loose dogs will not be tolerated.
 
SELLER CONDUCT
  1. Management retains the rights to restrict, exclude, or evict Exhibitors or exhibits, which, because of the method of operation, noise, or other features become objectionable or in the opinion of management detract from the general character of the event as a whole. This includes persons, things, printed matter, or anything else management judges to be objectionable. If the above-mentioned action becomes necessary, management may retain the monies paid as liquidated damages for breach of the Agreement.
  2. All dealings conducted by booth personnel must be performed so as not to infringe upon the rights of other Exhibitors or offend visitors to the event. Should the Exhibitor desire to pass out printed material, or other articles, this must take place only from within the assigned space, subject to prior management approval. No manner of attracting attention in a noisy or an undignified manner will be permitted.
  3. Excessive noises (such as stereos, radios, televisions, shouting, amplified voices) will not be allowed if such noises disturb other Exhibitors or customers.
  4. Any Exhibitor caught selling stolen, counterfeit, black market, illegal merchandise of any kind or any food or beverages, is subject to having said merchandise confiscated at the event, may face arrest by local authorities, immediate eviction from the event and loss of selling privileges without a refund.
  5. Management reserves the right to reasonably refuse service and/or admission to anyone.
